Getting Started
Account setup, login, and your first generation
What is TeachSmartHQ™?
TeachSmartHQ™ is an AI-powered workflow platform built specifically for K-12 educators. It helps teachers, paraprofessionals, SPED teams, and instructional coaches generate the documents they need every day — PLAAFP statements, differentiated worksheets, and structured lesson plans — in minutes instead of hours.
It’s built by a team that includes an active SPED teacher, a K-12 paraprofessional, and a senior enterprise IT leader, so it’s designed around how educators actually work.
How do I create an account?
Choose a plan from our Pricing page and complete checkout. Your account is created automatically with the email you use at checkout, and you’ll receive a welcome email with login details and a link to your dashboard.
Is there a free trial?
We don’t offer a traditional time-based free trial, but we do offer a low-cost entry option: the Teacher Toolkit at $39 one-time, backed by a 30-day money-back guarantee. If it’s not a fit, you get a full refund.
For new educators, we periodically run promotional offers (like Summer 2026) that include free months on monthly plans or a waived first year on annual plans. Check our Pricing page for current promotions.
How do I generate my first PLAAFP, worksheet, or lesson?
From your member dashboard, click into the generator you want to use:
- PLAAFP Generator — for present level statements
- Worksheet Generator — for differentiated student practice
- Lesson Delivery System™ — for full structured lessons (Premiere™ tier)
Fill in the prompts (using generic references like “Student A” — never real student names), click generate, and your draft appears in seconds. You can then save it, regenerate, edit, or download.
What devices and browsers does TeachSmartHQ™ work on?
TeachSmartHQ™ runs in any modern web browser — Chrome, Safari, Firefox, Edge — on desktop, laptop, tablet, or phone. There’s no app to install. Just log in at teachsmarthq.com from any device.
I forgot my password — how do I reset it?
Click the “Forgot password?” link on the login page. You’ll receive a reset email at the address tied to your account. If you don’t see it, check your spam folder or contact us for help.
Generators
PLAAFP, Worksheet, and Lesson Delivery System™
What is the PLAAFP Generator?
The PLAAFP Generator helps SPED teachers and IEP teams draft Present Levels of Academic Achievement and Functional Performance statements quickly. You provide goal area, grade level, and key observations, and it produces a structured, professional draft you can edit and adapt.
It’s a draft starting point, not a replacement for IEP team judgment — you always review, adjust, and approve before using it in official documentation.
What does the Worksheet Generator do?
The Worksheet Generator creates print-ready, differentiated student practice materials — with separate clean student pages, answer keys, and (optionally) teacher steps. It supports multiple layouts, work modes (lines/grid/blank), and problem types, all customizable from a teacher-friendly control panel.
What is the Lesson Delivery System™?
The Lesson Delivery System™ produces full structured lessons including objective, standards alignment, instruction flow (warm-up, mini-lesson, guided practice, independent work, exit ticket), intervention/scaffolded versions, enrichment extensions, and answer keys. It’s built to be SPED-universal and works for any subject area.
Plan availability: Lesson Delivery is included in Premiere™ Monthly, Premiere™ Annual, and Team Premiere™. It is not included in PRO or Team PRO plans.
How many generations do I get per month?
It depends on your plan:
- PRO Monthly / PRO Annual — 25 generations per month
- Premiere™ Monthly / Premiere™ Annual — unlimited generations
- Team PRO — 90 generations per month, shared across all 3 team members
- Team Premiere™ — unlimited generations across all 3 team members
Counts include PLAAFP and Worksheet generations. Regenerations count, but failed generations do not. Counts reset on the 1st of each calendar month.
What happens if I hit my generation limit?
You’ll see a clear message that you’ve reached your monthly limit. Your saved drafts remain accessible — only new generations are paused until your monthly reset (1st of next calendar month) or until you upgrade.
For Team plans, members will see a “team pool exhausted” message, and the team owner will see an upgrade prompt to move to Team Premiere™ for unlimited generations.
Can I regenerate the same input?
Yes. Regenerations let you try the same prompt again to get a different draft. Note that regenerations do count toward your monthly generation total, so if you’re on PRO with 25 generations and you regenerate once, that’s 2 generations used.
Is the AI output good enough to use as-is?
Every generation is a draft starting point — not a finished, pre-approved document. You should always review, adapt, and approve outputs before using them in classrooms, official documentation, parent communication, or IEP team submissions.
Our generators are designed to save you time on the first 80% of the work so you can focus your professional judgment on the 20% that requires human review.
Plans & Pricing
What’s included in each tier
What plans does TeachSmartHQ™ offer?
We offer plans for individuals, small teams, and schools/districts:
- Teacher Toolkit — $39 one-time
- PRO Monthly — $15/month
- PRO Annual — $99/year (save ~45%)
- Premiere™ Monthly — $25/month
- Premiere™ Annual — $199/year (save ~33%)
- Team PRO — $49/month for up to 3 educators
- Team Premiere™ — $79/month for up to 3 educators
- School Pilots — $2,500–$7,500 (custom-scoped)
- District Licensing — custom pricing
What’s the difference between PRO and Premiere™?
The two key differences are generation limits and Lesson Delivery access:
- PRO — 25 generations/month, includes PLAAFP + Worksheet generators, includes Saved Drafts
- Premiere™ — unlimited generations, includes all three generators (adds Lesson Delivery System™), includes Saved Drafts
If you generate more than 25 documents per month or if Lesson Delivery is part of your workflow, Premiere™ pays for itself quickly.
What does the Teacher Toolkit include?
The Teacher Toolkit is a one-time $39 purchase that gives you access to a curated set of TeachSmartHQ™ prompts, templates, and classroom resources. It does not include the live AI generators or Saved Drafts — those are PRO and Premiere™ features.
It’s a low-friction way to evaluate whether the TeachSmartHQ™ approach fits your workflow, with a 30-day money-back guarantee.
Can I switch plans?
Yes. You can upgrade (e.g., PRO Monthly to Premiere™ Monthly) or downgrade at any time from your account dashboard. Upgrades take effect immediately. Downgrades take effect at the end of your current billing period.
Do annual plans save money?
Yes — significantly:
- PRO Annual at $99/year vs PRO Monthly at $15/month ($180/year) saves ~$81/year
- Premiere™ Annual at $199/year vs Premiere™ Monthly at $25/month ($300/year) saves ~$101/year
Annual plans also include a 14-day refund window if it’s not a fit.
Is the Teacher Toolkit included in PRO or Premiere™?
The Teacher Toolkit is a separate one-time purchase. PRO and Premiere™ subscriptions do not automatically include Toolkit content, and Toolkit purchases do not include access to the live AI generators or Saved Drafts.
Saved Drafts
Storing, accessing, and managing your work
What are Saved Drafts?
Saved Drafts is a built-in dashboard that stores every PLAAFP, worksheet, and lesson you generate, so you can come back to them later, regenerate variations, or use them as templates. Drafts are tied to your account and accessible from any device.
Which plans include Saved Drafts?
Saved Drafts is included in:
- PRO Monthly & PRO Annual
- Premiere™ Monthly & Premiere™ Annual
- Team PRO & Team Premiere™ (shared within the team)
Saved Drafts is not included in the Teacher Toolkit or Free tier.
How many drafts can I save?
There’s no fixed cap on the number of drafts you can save on PRO and Premiere™ plans. Generation limits apply to creating new content (see Generators FAQ), but storage of saved drafts is generous and not the bottleneck.
Can I edit a saved draft?
Yes. Open any saved draft from your dashboard to view, edit, copy text, regenerate variations, or download. Edits are saved automatically.
What happens to my drafts if I cancel?
When you reactivate — using the same email address you originally signed up with — your full draft library reappears in your dashboard exactly as you left it. See the Cancel & Reactivate section below for full details.
Can I download my drafts?
Yes. Each saved draft includes download options so you can keep a local copy in standard formats. We recommend downloading important drafts before any subscription change so you have a backup independent of platform access.
Teams
Team PRO & Team Premiere™ plans
What is a Team plan?
Team plans are designed for small-group educator collaboration — department teams, grade-level teams, SPED cohorts, or instructional coach groups. Each Team plan supports up to 3 educator accounts on one subscription, with shared drafts and a shared generation pool.
What’s the difference between Team PRO and Team Premiere™?
Same structure as individual plans:
- Team PRO — $49/month, 90 generations shared per month, includes PLAAFP + Worksheet generators
- Team Premiere™ — $79/month, unlimited generations, includes PLAAFP + Worksheet + Lesson Delivery System™
How does the shared generation pool work on Team PRO?
Team PRO includes 90 generations per month, pooled across all 3 team members. So if Educator A uses 50, Educator B uses 30, and Educator C uses 10, the team has used all 90.
Team admins can see a per-member breakdown of usage. When the pool is exhausted, members see a “team full” message and the admin sees an upgrade prompt to move to Team Premiere™ for unlimited generations.
How do I add or remove team members?
The team owner (the person who purchased the plan) manages membership from their dashboard. You can invite up to 3 team members by email; they’ll receive an invitation to create a free granted account.
Members can be removed or swapped at any time. Note: removing a member mid-period does not generate a refund.
Can team members share drafts?
Yes — that’s a core part of how Team plans work. When a team member saves a draft, they can choose whether to keep it personal or share it with the team. Shared drafts appear in every team member’s dashboard.
What happens to teammates if the team owner cancels?
Each teammate’s individual drafts are preserved on their own account and will reappear when they (or a future team owner) reactivate a qualifying plan. See the Cancel & Reactivate section for full details.
Cancel & Reactivate
How cancellation works (and how to come back)
How do I cancel my subscription?
You can cancel at any time from your account dashboard, under Subscriptions. Click Cancel and confirm.
Cancellation takes effect immediately upon confirmation — access to the dashboard, generators, and saved drafts is locked at that point. You will not be charged again.
Will I lose my drafts if I cancel?
You can take a break, change schools, switch focus, or step away for a season — and the work you’ve built in TeachSmartHQ™ will still be exactly where you left it whenever you return.
How do I reactivate?
Visit our Pricing page and choose the plan you want. Sign in or check out with the same email address you originally used. Your full draft library reappears in your dashboard exactly as you left it — same drafts, same organization, same tools.
What if I sign up again with a different email?
If you’ve lost access to your original email, contact us and we’ll help you recover the right account.
Why doesn’t TeachSmartHQ™ offer a read-only grace period after cancel?
We considered a read-only grace period model where canceled members would keep limited access for a window of time. After working through it, we chose immediate-lock-with-preservation instead because it’s clearer, simpler to understand, and removes ambiguity about what your subscription includes — while still keeping every piece of work you’ve created waiting safely for you.
Either way, your drafts come back instantly when you reactivate.
What happens if my payment fails?
If a renewal payment fails (expired card, bank hold, etc.), we’ll retry once or twice and email you to update your payment method. While the issue is unresolved, access is paused but your drafts stay preserved — nothing is deleted.
Once you update your payment method using the same email, access is restored automatically.
Billing & Refunds
Charges, renewals, and refund eligibility
When am I charged?
Monthly plans charge on the same day each month, starting the day you signed up. Annual plans charge once per year on your signup anniversary. The Teacher Toolkit is a single charge at the time of purchase.
Do subscriptions auto-renew?
Yes. Monthly and annual subscriptions renew automatically using the payment method on file. You can cancel anytime to stop future renewals — cancellation is immediate.
Is there a refund policy?
Yes:
- Teacher Toolkit — 30-day money-back guarantee
- PRO Annual / Premiere™ Annual — 14-day refund window from purchase
- Monthly plans — cancel anytime; past payments are non-refundable since access was provided
- Team plans — same as monthly
- School pilots / district licensing — per contract
Full details at our Refund Policy page.
How long does a refund take?
Once approved, refunds are returned to your original payment method within 5–10 business days. Timing depends on your bank or card issuer.
How do I request a refund?
Contact us through our contact page with your order details and a brief reason. We review every refund request and reply with a decision within 3 business days — usually faster.
Can I get an invoice or receipt?
Yes. Every charge generates an automatic email receipt. You can also download invoices from your account dashboard. For schools and districts that need formal invoices for procurement, contact us and we’ll provide what you need.
Do you accept purchase orders?
For individual and Team plans, we use Stripe checkout (credit/debit card). For school pilots and district licensing arrangements, we can accommodate purchase orders, ACH, and standard procurement workflows. Submit a structured inquiry through our AI Implementation Inquiry page.
Privacy & Student Data
FERPA/COPPA posture and data handling
How does TeachSmartHQ™ handle student data?
TeachSmartHQ™ is designed to be FERPA and COPPA aware. The core principle: educators should never enter real student names or PII into our generators. Use generic references like “Student A” or “The student” instead.
As a safety net, our backend applies server-side scrubbing so that even if PII is accidentally entered, it doesn’t appear in the generated output. But this is a safety net, not a license to enter PII — following the no-PII rule is part of our Terms of Service.
Is TeachSmartHQ™ FERPA compliant?
TeachSmartHQ™ is designed to support educators in operating in compliance with FERPA. Because we instruct educators not to enter student PII into the system, FERPA compliance largely depends on educators following that practice.
For schools and districts that require formal Data Privacy Agreements (DPAs) or NDPAs as part of procurement, we can review and execute these agreements. Submit a structured inquiry through our AI Implementation Inquiry page.
What AI does TeachSmartHQ™ use?
TeachSmartHQ™ is powered by Anthropic AI, an enterprise-grade AI infrastructure provider. We chose Anthropic for its strong posture on safety, reliability, and responsible AI practices — all of which matter for K-12 education.
Does TeachSmartHQ™ use my inputs to train AI models?
No. Your inputs, generated outputs, and saved drafts are not used to train AI models. They’re processed solely to deliver the service to you. We do not sell, share, or repurpose your content for any other use.
Where is my data stored?
Account data and saved drafts are stored on secure, US-based cloud infrastructure. Payment data is processed by Stripe and is not stored on our servers. Full technical details about data storage, retention, and deletion are in our Privacy Policy.
Can my district sign a DPA or NDPA with TeachSmartHQ™?
Yes. We support Data Privacy Agreements and National Data Privacy Agreements as part of school pilot and district licensing engagements. Submit a structured inquiry through our AI Implementation Inquiry page and include your DPA/NDPA requirements.
Is TeachSmartHQ™ accessible (WCAG / ADA)?
We’re actively building toward WCAG 2.1 Level AA compliance, including a published VPAT for procurement reviewers. Accessibility is a deliberate part of our product roadmap, especially as the Department of Justice’s 2024 Title II guidance increases accessibility requirements for public-school vendors.
