Refund Policy

We want every educator to feel clear about what happens when they buy, cancel, or request a refund. This policy explains which purchases are eligible for refunds, how cancellation works, what happens to saved content after cancellation, and how refund timing works once a refund is approved.

This policy works alongside our Terms & Conditions and Privacy Policy. Together, they describe your full relationship with TeachSmartHQ™.

Section 01

Overview

TeachSmartHQ™ offers a mix of one-time purchases, individual subscriptions, Team plans, and school or district engagements. Different purchase types have different refund rules, so this page is meant to make those rules easy to understand.

Teacher Toolkit 30-day guarantee

The TeachSmartHQ™ Teacher Toolkit is backed by a 30-day refund window.

If you purchase the Toolkit and decide within 30 days that it is not a fit, reach out through our contact page with your order details and we will review the request promptly.

Refund requests submitted more than 30 days after purchase may not be approved.

Section 04

Annual subscriptions

Annual subscriptions include a 14-day refund window from the date of purchase or renewal.

Within 14 days

If you decide within 14 days that TeachSmartHQ™ is not a fit, contact us through our contact page. Approved annual-plan refunds may be pro-rated for usage if content was generated during that period.

If no meaningful usage occurred during the refund window, the refund may be processed in full.

After 14 days

After the 14-day window closes, the annual subscription is considered final for that billing year. You may still cancel at any time to stop the next annual renewal.

Renewal refunds

If an annual subscription renews automatically and you want to request a refund for that renewal, contact us within 14 days of the renewal charge. Renewal refunds follow the same standard as new annual purchases.

Section 05

Monthly subscriptions

Monthly subscriptions are simple:

  • you can cancel at any time
  • cancellation stops future billing
  • you keep access through the end of your current billing period
  • past monthly payments are generally non-refundable once access for that billing period has been provided

If you believe you were charged by mistake, charged after canceling, or charged a duplicate amount, contact us through our contact page and we will investigate promptly.

Section 05b

What cancellation actually means

We want this to be plain, not slippery.

Access continues through the current billing period

When you cancel, your subscription does not end instantly. You keep access through the end of your current billing period. After that billing period ends, your paid access stops and you will not be charged again unless you reactivate.

Saved content is retained for a short recovery window

After cancellation, saved content is removed from active storage within 30 days.

That means:

  • if you reactivate your account during that 30-day window, your drafts and saved content return
  • if you do not reactivate during that 30-day window, the saved content is permanently removed

Use the same email address if you reactivate

If you come back, sign in with the same email address used on the original account. That is what ties your saved content to your account during the recovery window.

Section 06

Team plan refunds (all current Team tiers)

This section applies to all current Team tiers:

  • Team PRO
  • Team Premiere™
  • Team Premiere™ Plus
  • Team Premiere™ Elite
  • Team Premiere™ Max

Monthly Team plans

Monthly Team plans follow the same cancel-anytime model as other monthly subscriptions:

  • the account owner may cancel at any time
  • cancellation stops future billing
  • team access continues through the end of the current billing period
  • past monthly payments are generally non-refundable once access for that period has been provided

Removing or swapping a teammate mid-period does not create a partial refund for that billing period.

Annual Team plans

Where Team plans are purchased on an annual basis, the standard 14-day annual refund window applies unless a different rule was presented at checkout or in a written agreement.

Team drafts after cancellation

After cancellation, saved Team content and saved account content are removed from active storage within 30 days. If the applicable account is reactivated during that window, saved content can be recovered. After that window, it is permanently removed.

Promotional offers

TeachSmartHQ™ may run limited-time promotional offers from time to time.

Current promotional eligibility, plan coverage, offer deadlines, and live pricing are listed on:

If a promotion waives an initial payment

If a promotion waives an initial monthly or annual payment, there is nothing to refund during the no-charge period because no payment was collected.

If you cancel during that no-charge period, future billing does not begin.

Once paid billing begins, the normal refund rules in this policy apply based on the purchase type.

Section 08

Schools & district pilots

School pilots, district licensing, and other custom implementation agreements are governed by the refund terms in the applicable contract, statement of work, or written agreement.

Section 09

How to request a refund

To request a refund, reach out through our contact page.

To help us process the request quickly, include:

  • your full name
  • the email address used for the purchase
  • your order confirmation number or receipt details
  • the product or subscription involved
  • a brief reason (optional, but helpful)

We review refund requests promptly and typically reply within 3 business days, often sooner.

Section 10

Processing time

If a refund is approved, TeachSmartHQ™ processes it immediately via Stripe.

Funds are returned to the original payment method used for the purchase. After processing, it typically takes 5–10 business days for the refund to appear, depending on Stripe, your card issuer, and your bank.

We cannot move an approved refund to a different card, different account, or store-credit balance unless the original payment method is no longer available and a manual resolution is required.

Refunds are issued in the same currency as the original charge. Any exchange-rate differences are handled by the payment provider, not by TeachSmartHQ™.

Section 11

What's not refundable

The following are generally not eligible for refund:

  • Teacher Toolkit requests submitted more than 30 days after purchase
  • annual subscription requests submitted more than 14 days after purchase or renewal
  • monthly subscription charges for billing periods where access has already been provided
  • partial-month requests after a monthly cancellation, because cancellation stops future billing but does not rewind the current paid period
  • charges resulting from failure to cancel before a scheduled renewal, unless otherwise required by this policy or applicable law
  • promotional periods where no payment was collected

We may also decline refund requests in cases of fraud, abuse, account sharing in violation of our Terms, repeated purchase-and-refund patterns, or other misuse of the service.

Section 12

Policy updates

We may update this Refund Policy from time to time as the product evolves or laws require.

The version that applies to a purchase is the version in effect at the time of that purchase. If a later policy change is less generous, it does not retroactively reduce refund rights that already applied when the purchase was made.
