How Team Invites Work
Everything you need to know about inviting teammates to your TeachSmartHQ™ team — or joining a team someone else invited you to.
I'm the team owner
You bought a Team plan and want to invite teachers to join your team.

If you've purchased Team PRO or Team Premiere™, you can invite up to 3 educators (including yourself) at no extra cost to them.

Open your team workspace
Head to My Team to see your team, seat count, and any pending invites.

Enter the teacher's email
Type their work or personal email into the Invite a teammate field and click Send Invite. We'll email them a secure, personal invite link.

They click the link
The email walks them through exactly what TeachSmartHQ™ is and what to do next. If they're new, they'll create a free account (no payment needed — your plan covers them).

They're on your team
Once they accept, you'll see them as an accepted member on your team dashboard. We also send you a quick email to let you know.

Got an email that says you've been invited to a team? Here's exactly what happens — and what to expect.

Click the button in the invite email
Look for the email from TeachSmartHQ™. Click Accept & Join Team. The link is personal to you — please don't forward it.

Create a free account (if you're new)
If you don't already have a TeachSmartHQ™ account, you'll be invited to set one up. It takes about 30 seconds — just name, email, password. No payment info needed.

Come back to the invite
After signing up, click the link in your invite email again (or refresh the accept page). You'll see a big green Accept & Join Team button.

You're in
You'll land on your team's workspace with full access to every tool in the plan — the PLAAFP Generator, Saved Drafts Dashboard, and more.

Do teammates have to pay anything?
No. The team owner's plan (Team PRO or Team Premiere™) covers every teammate. When a teammate signs up, there's no payment step and no credit card needed. They just create a free TeachSmartHQ™ account and they're in.
How many teammates can I invite?
Team plans include 3 total seats — 1 for you (the owner) + 2 teammates. If you need more seats, let us know and we can work on a larger plan.
How long is the invite link valid?
Invite links stay active for 14 days. If a teammate misses that window, the team owner can click Resend on the pending invite to send a fresh link.
What if my teammate doesn't see the invite email?
Have them check their spam or promotions folder first. If it's still missing, the owner can click Resend on the pending invite row in My Team. That sends a brand-new email with a fresh link.
Can teammates invite more teammates?
No — only the team owner can invite, cancel, or remove members. This keeps your team roster clean and predictable.
What happens if I remove a teammate?
They immediately lose access to your team's tools. Their TeachSmartHQ™ account still exists — they just won't be a member of your team anymore. That seat is freed up, so you can invite someone else.
Does my teammate need a different email than mine?
Yes. Each TeachSmartHQ™ account is tied to a unique email. If you try to invite yourself (the owner) or invite someone who's already on the team, the system will let you know and prevent duplicate seats.
Can teammates see each other's PLAAFP drafts?
Drafts are private by default — each teammate's drafts are only visible to them. When we launch shared team drafts (coming soon), you'll be able to opt-in to share a specific draft with your team. We'll never share your drafts automatically.
How do I cancel or change my team plan?
You can manage your subscription anytime from Account. Canceling doesn't delete your teammates' accounts — they just lose access to your team's premium tools.
